Office Manager in Shanghai
Duties: To manage office needs with regard to human resources, IT resources, strategic processes, internal control and payroll.
PROCESS AND POLICIES MANAGEMENT
Responsible for developing, update, implement and monitor the processes and politics of the office with the purpose of ensuring the compliance with the procedures established in Camposol Foods. Permanently monitor the organizational structure and functions of employees considering the optimization of resources and the correct segregation of duties.
INTERNAL CONTROL –AUDIT
Responsible for planning, execute and control the activities related to internal control in coordination with the Internal Control Department of Camposol Foods, with the purpose of identifying possible risks and develop preventive actions.
Supervise and control product and services agreements in which the office participates, always in coordination with the Legal Department of Camposol Foods.
Supervise and Coordinate Internal and External Audits.
PAYROLL
Responsible for the administration of the company payroll in coordination with our accountant and administration department.
To perform a benchmark of salaries in Camposol Trading and the Chinese labor market in the Fruits and Vegetable industry
EMPLOYEE CONTRACTS
To update the contract of employees under the China laws in coordination with the lawyer services and assure the fulfillment of employees rights
COMPUTER RESOURCES MANAGMENT
Manage the assignment of computer resources and access to the system for all employees, controlling the security of the information. In addition, report the departure of a worker to eliminate their accounts and email. Always seek stability and good infrastructure of the office.
OFFICE INFRASTRUCTURE
Responsible for managing the infrastructure of the office, by managing the purchase of Administrative goods and services. Responsible for the compliance of legal regulations related to infrastructure licenses.
Responsible for managing the Petty cash, registering in SAP approved by the General Manager.
HUMAN RESOURCES MANAGEMENT
Responsible for creation/updating/filing of Employee Contracts, Employee function descriptions according to China laws, Employee files, Payroll monthly report to corporate. Training, Recruitment, Holiday chart, communicate with Labor advisors to support the employee HR related tasks.
MINIMUM REQUIREMENTS
Education: Bachelor Administration, Office Management (other education profiles could be evaluated)
Experience: 3 Years
Specific knowledge: Controller, Administration, Procedures & Policies and Payroll
Language: Chinese and English
Software: Office user. SAP (preferred but not mandatory)
Abilities: Communicational, Analytical, Managing People, Team Work, Reliability, Problem Solving, Project management.
